Expired Listing Automation

An expired listing is a starting point for research, not proof that its owner wants to sell again. Build a follow-up process around accurate records, the seller’s stated plans and a clear handoff to an agent.

Start with the record and the seller’s current plans

Before adding a property to a campaign, check its current status in your authorized listing source. Record when the information was checked and whether there is a newer listing. Resolve duplicate records so two agents or campaigns do not approach the same person independently.

Keep the property record separate from the contact record. A matching address does not verify a phone number, email address or willingness to hear from you. Review contact permissions, preferences and suppression rules before activating a sequence.

An expired-listing follow-up workflow

  1. Assign an owner. Make one person responsible for reviewing the record and responding to a reply.
  2. Confirm the next action. Check the last conversation, any promised follow-up date and the channels available for this contact.
  3. Prepare a useful conversation. Ask whether the owner is still considering a sale and what they would want handled differently. Avoid assuming why the previous listing ended.
  4. Record the answer. Separate a requested consultation, a later follow-up date, no current interest and a request to stop contact.
  5. Pause automated messages when someone responds. The assigned agent should see the conversation before another scheduled message goes out.
  6. Close the loop. Record whether a consultation was actually held and whether it led to an agreed next step.

Make the cadence follow the conversation

There is no fixed number of messages that guarantees a listing. A person who asks for a call next month needs a different task from someone who requests an appointment today. Set the next action from the conversation and review contacts that have no current plan.

Automation can help organize tasks and reminders. It should not replace a seller’s stated preference or continue a sequence after the agent has agreed to a different next step. See the lead nurturing checklist for reply handling and stop conditions.

What to test in a CRM demonstration

Ask for a demonstration with a synthetic contact. Do not use a real homeowner to test messaging. Have the provider show what happens when the contact replies, asks for a later date, declines further contact or is already assigned to another agent.

  • Show the source and timestamp of the imported record.
  • Show how duplicate contacts are handled.
  • Show the agent assignment and reply notification.
  • Show that paused or suppressed contacts do not remain in another active sequence.
  • Show the difference between a booked appointment and an attended appointment in reporting.

Confirm supported lead sources and integrations for the setup being offered. A source appearing in a sales presentation does not establish that an active connection is available in your account. Use the CRM demo checklist to record what was demonstrated.

Measure outcomes instead of message volume

Track records reviewed, useful conversations, appointments booked, appointments attended and signed listing agreements as separate stages. Also review duplicate outreach, incorrect contact data and stop requests. Use a consistent reporting period so changes in the lead source do not get mistaken for a better workflow.

Review your seller follow-up setup

Bring one example workflow and the lead sources you use. Discuss the handoffs and reporting you need before choosing an automation setup.

Frequently asked questions

Does an expired listing mean the owner is ready to sell again?

No. Confirm the current property status and ask about the owner’s plans. An expired record alone does not establish their present timeline or interest.

How many follow-up attempts should I schedule?

Use the contact’s stated preferences and agreed next step. A universal number of attempts does not guarantee an appointment or listing.

What should happen when a seller replies?

The responsible agent should receive the reply, review the conversation and decide the next step. Test that any automated sequence pauses as intended.

What should I ask a CRM provider to demonstrate?

Ask for record-source timestamps, duplicate handling, agent assignment, reply pauses, suppression behavior and separate reporting for booked and attended appointments.
